1. Who we are
Biltworx is operated by Zachery Cook, doing business as Biltworx ("Biltworx," "we," "us"), 5801 Golden Triangle Blvd #125, Fort Worth, TX 76244. Effective date: October 18, 2026.
Biltworx is software that helps businesses that build their own products manage their shop floor: clocking in, turning store orders into jobs, sharing build guides, and tracking builds and bonuses. This policy explains what information we collect, how we use it, and the choices you have.
It covers:
- Merchants — business owners and admins who install Biltworx on their Shopify store
- Builders — employees and contractors a merchant invites to use the Biltworx builder portal
- Visitors — anyone who visits biltworx.app
Merchants control the data in their own Biltworx account. For information about a merchant's builders and orders, the merchant decides what goes in and we process it on their behalf.
2. Information we collect
| Who | What we collect | Where it comes from |
|---|---|---|
| Merchants | Store name and domain, store owner name and email, plan and billing status | Shopify, when you install the app |
| Merchants | Products, variants and order details needed to create jobs: order number, items, options, quantities and order notes | Shopify, synced while the app is installed |
| Merchants | Build guides, bonus amounts, settings, and the shop code you share with your crew | Entered or imported by you |
| Builders | First name, clock-in and clock-out times, jobs worked, builds completed, bonuses earned | Entered by the builder or created as they use the portal |
| Everyone | Basic technical data: IP address, browser type, device type, pages visited, and a session cookie that keeps you signed in | Collected automatically |
Customer information. Store orders can include your customers' names and shipping details. Biltworx only reads the order fields it needs to build the job, and shows them only to that merchant's team. [Confirm which customer fields the app reads.]
Payments. Your subscription is billed through Shopify. We never see or store your card or bank details.
What we don't collect. Builders don't create passwords or accounts with us, and we don't collect builders' contact details, Social Security numbers, or pay rates.
3. How we use it
We use the information above only to run and improve Biltworx:
- Turn your store's orders into jobs and keep them in sync
- Let builders clock in, see their jobs and guides, and track their builds and bonuses
- Show merchants hours, completed builds and bonus totals for their team
- Manage your subscription and free trial
- Answer support requests and send service messages (for example, a sync problem or a billing change)
- Keep the service secure, prevent abuse, and fix bugs
- Meet legal obligations
What we never do: we do not sell personal information, we do not use your store or builder data for advertising, and we do not share one merchant's data with another merchant.
4. Who we share it with
We share information only with companies that help us run Biltworx, and only what they need to do that job:
| Provider | What they do | Where |
|---|---|---|
| Render | Hosts the Biltworx app, website and database | United States |
| Shopify | Connects Biltworx to your store and handles billing | Per Shopify's own policy |
We may also share information when the law requires it, to protect people's safety or our rights, or as part of a merger or sale of the business (and we'll tell you if that happens).
Your builders' information is visible to you and the admins you choose. Builders only see their own hours, jobs and bonuses. [Confirm whether builders can see each other's build counts.]
5. How long we keep it
We keep your data while Biltworx is installed on your store.
- If you uninstall: Shopify notifies us 48 hours after you uninstall. We then delete your store's data, including jobs, guides, builder records and settings, within [30] days.
- Customer requests: if one of your customers asks Shopify to see or delete their data, Shopify passes the request to us and we respond within the time Shopify requires.
- Builder requests: a builder who wants their records removed can ask their merchant, or email us and we'll work with the merchant.
- Records we must keep: we may keep billing records and basic logs longer when the law requires it.
6. Your rights and choices
Depending on where you live, you may have the right to see, correct, download or delete your personal information, or to object to how we use it. To make a request, email us. We'll confirm who you are and answer within 30 days. If we hold the data for a merchant, we may send your request to that merchant.
7. Security
We protect data with encrypted connections (HTTPS), access controls, and hosting on a professional cloud provider. No system is perfectly secure, so we can't promise data will never be exposed. If a breach affects your data, we'll tell you as the law requires.
8. Children
Biltworx is a business tool and is not meant for children under 16. We don't knowingly collect their information.
9. Changes to this policy
If we make important changes, we'll update the date at the top and tell merchants by email or in the app before the changes take effect.
